Build a supplier-ready RFQ brief

Copy-ready purchasing brief

Use this text as an email, WhatsApp message, internal approval note or the first draft of a supplier comparison sheet.

Hello, we would like to request a bulk workwear quote for the scope below. Please share price, lead time, samples and included/excluded items using the same headings.

1) Commercial scope
Product category: Work vest
Estimated quantity: 250
Department / team: E.g. field team, warehouse, kitchen, security, office
Delivery city: Delivery city and shipping address to be confirmed
Target delivery date: Target date to be confirmed
Lead-time sensitivity: Standard lead time
VAT / shipping status: To be clarified in quote
Payment term: E.g. advance, 30 days, to be confirmed after quote

2) Technical scope
Fabric expectation: Fabric type, weight, season and washing expectation
Color / corporate shade: Corporate color, pantone or sample shade
Size distribution: E.g. S:20, M:60, L:80, XL:50, 2XL:25, 3XL:15
Branding method: To be confirmed
Logo placement: E.g. left chest, back, sleeve, reflective tape
Sample requirement: Sample and fabric card requested
Standard / risk requirement: To be confirmed with supplier
Packaging / labelling: Person-based packs, department cartons, labels, etc.
Additional notes: Shift, delivery batches, fitting, packaging or special notes

3) Questions for the supplier
- Can unit price, VAT, shipping, packaging and branding be shown separately?
- How many business days are needed for sample approval and bulk production?
- Can you share fabric weight, composition, care instructions and color alternatives?
- How do you secure fabric and color continuity for repeat orders?
- How are wrong sizes, size exchanges and production tolerances handled?

Buyer checklist
- Confirm final size distribution and measurement chart before production.
- Approve sample, fabric card and branding sample before bulk order.
- Ask VAT, shipping, packaging, branding and revision costs separately.
- Confirm delivery date, partial shipment options and delay risk in writing.
- Do not use special standard or certification claims without documentation.

Purchasing workflow

A better brief means fewer revisions and a clearer quote

In bulk workwear buying, quality is not determined only by product choice. A precise brief shapes supplier response and reduces revisions.

01

Translate the need into one language

Collect department, quantity, sizes, color and delivery expectation in one brief.

02

Separate technical unknowns

Fabric, branding, sample, special risk and washing expectation affect price and should be written separately.

03

Request quotes in the same format

When every supplier answers the same headings, price, quality and lead-time differences become clearer.

Quote comparison standard

Asking on the same scope improves the quality of negotiation

A premium RFQ does not only ask for a price. It makes the quoted scope measurable so purchasing, operations and finance read the same offer language.

Do not read unit price alone

Logo, packaging, shipping, VAT, sampling and lead time can make the cheapest-looking quote more expensive in total.

Ask for sample and fabric confirmation

The same product name can be produced with different weights, blends and finishes; sample approval is as important as price.

Make lead-time risk visible

If the delivery date is fixed, production queue, branding, fabric supply and partial shipment should be discussed early.

Check repeat-order continuity

For corporate workwear, color, fabric and fit continuity protects brand consistency in the next order.

RFQ template questions

Does this tool replace a contract?

No. It is a pre-quote RFQ brief. Commercial terms, payment, delivery, warranty and legal clauses should still be confirmed in writing.

Can it be used before sizes are final?

Yes. Add an estimated size distribution first, then update the final measurement chart and size list before production.

What if the logo file is not ready?

State the likely branding method, placement and expectation; ask the supplier for file format, application size and sample proof.

Why ask VAT and shipping separately?

Suppliers format offers differently. Separate line items reveal the real total cost and simplify finance approval.

What if special standards are needed?

If reflective, food, medical, heat or spark risk exists, write the requirement clearly and do not use undocumented certification claims.

Is this too long for WhatsApp?

It may look long in chat, but it reduces back-and-forth. Send it by email first and use WhatsApp for follow-up if needed.
